About the Role:
Australian Naval Infrastructure Pty Ltd (ANI) is the owner, developer and manager of the Osborne Naval Shipyards, supporting the Commonwealth’s Naval Shipbuilding Plan. ANI is responsible designing, constructing and managing the shipyard infrastructure, including the new Nuclear-Powered Submarine Construction Yard to support the AUKUS program, and operating and maintaining common use facilities.
ANI plays a pivotal role in delivering Australia’s naval shipbuilding capability, contributing to one of the nation’s most significant and complex infrastructure programs. Based in Adelaide, our work underpins the future of naval shipbuilding through world-class infrastructure at Osborne.
ANI has an opportunity for an organised and proactive Project Administrator to join its Nuclear Stewardship team in Adelaide. In this role, you will support the Head of Engineering and Head of Nuclear Security and Safeguards through a variety of project administration, document management and governance activities. Working closely with stakeholders across the business, you will help ensure critical documentation, permit application activities and project support functions are delivered efficiently and effectively.
Key Responsibilities:
- Administer Design Management, Technical Assurance and Engineering Change Control processes.
- Maintain the Independent Technical Assurance, Intelligent Customer and Technical Query Registers.
- Manage technical document registers supporting regulated onsite activities.
- Coordinate and maintain the Security Cleared Design Participant (SCDP) process and Permitted Persons Register.
- Prepare and coordinate documentation required for permit applications.
- Support permit application activities by maintaining accurate, current and submission-ready security and safeguards documentation.
- Provide administrative support including meeting coordination, diary management, minute taking, and preparation of reports and project documentation.
- Support project deliverables through the development of key documents and project resources.
- Build and maintain effective relationships with project partners and stakeholders.
- Undertake project administration activities including agenda and minute preparation, file management, action tracking and correspondence drafting.
- Support the development and continuous improvement of project governance, safety and document control processes.
- Coordinate onboarding and training activities for project team members.
- Support the management of SharePoint and Teams sites for designated projects.
About You:
You are a highly organised administrator with exceptional attention to detail and the ability to manage competing priorities in a fast-paced environment. You enjoy working collaboratively with a diverse range of stakeholders and take pride in producing accurate, high-quality documentation while maintaining confidentiality and professionalism.
You will also have:
- Australian Citizenship and the ability to obtain and maintain the security clearances required for a Defence-related facility.
- High-level organisational and administrative skills, with the ability to prioritise workloads, solve problems and meet deadlines.
- Strong interpersonal skills and the ability to build effective relationships with a wide range of stakeholders.
- Well-developed written and verbal communication skills, including experience preparing correspondence, reports, meeting minutes and other project documentation.
- Proficiency across the Microsoft Office suite, including Word, Excel and PowerPoint.
- A professional approach with a strong commitment to confidentiality and teamwork.
- Relevant qualifications in project administration, project management or a related discipline.
- Experience working within a multidisciplinary project team, ideally in an industrial, infrastructure, government or defence environment.
Eligibility:
